Data Management
We employ the use of the latest technology, a fully integrated property management financial database. Our proven software package that provides a complete and fully integrated general ledger system for superior control of all accounts.
  • This system automatically keeps records on all properties, units, tenant histories, rent receipts, property maintenance, payables, computer check writing, deposit reporting, and bank reconciliation.
  • Provides Vendor Management with computerized tracking of the entire vendor account.
  • Provides Property Maintenance with a computerized maintenance system to track status of opened work orders and maintain a permanent maintenance history of Association property.
  • Produces Income Statement, Balance Sheet, and Budget Comparisons.
  • In addition to the standard reports, if desired, we can provide the additional flexibility of customized reports.
Financial
We provide the Commercial, Residential Property Owner or Community/HOA Association with financial management, which includes the following services:
  • Provide professional management for aspects of billing, collection, and record keeping using accrual based accounting practices.
  • Maintain a complete and accurate set of financial records.
  • Provide computer generated checking account and assist in investment of reserve accounts.
  • Payroll accounting, if required.
  • Provide payment billing for monthly, quarterly, semi-annual, or yearly dues.
  • Send delinquency notices and diligently pursue past due accounts in accordance with the policies established by the HOA.
  • Respond to all homeowner inquiries regarding account status, fees, and related financial matters on a timely basis.
  • Prepare financial reports for the Property Owners or Board of Directors, and provide information required for special meetings as specified by the Board.
  • Assist a Certified Public Accountant, selected by the Association, with the annual audit and preparation of the state and federal taxes.
Contract and Technical Services
We work hard to understand your needs and concerns, and take the appropriate actions to eliminate any problems that may arise. A hands-on management approach is a must for success.
  • Prepare bid specifications, solicit and analyze competitive bids for routine, recurring services, general maintenance services, and construction or renovation work. Submit written summaries of proposals and contractor references to the Property Owner or HOA Board of Directors for consideration.
  • Manage insurance policies, file claims and handle settlements as required. Keep in force all forms of insurance as required.
  • Provide on-line collection of rent/member dues, account inquiries, HOA Disclosure Packet requests. If desired, provide access to Community newsletters, Association info, etc. via our web site.
  • Provide regular inspections of the HOA for covenant/architectural violations. Report the follow-up inspection findings to the appropriate committee or the Board of Directors.
  • Assist in the yearly budget process, including bidding of contracts and analyzing budgeted versus actual expenses.
  • Assist in monitoring site contractors, i.e. general maintenance, grounds, security services, pool management, snow removal, trash and recyclable items, to ensure that the work is performed properly and meets contract specifications.
